GRO Early Learning is committed to protecting the privacy of children, families, staff, and visitors across our centres. This page explains what personal information we collect, why we collect it, and how we keep it safe.

We handle your information in line with the Privacy Act 1988 (Cth), the Australian Privacy Principles, and the Education and Care Services National Regulations.

What information we collect

About your child, we may collect things like their name, date of birth, address, immunisation records, health and dietary needs, developmental records, custody arrangements (where relevant), incident and medication reports, and Child Care Subsidy details.

About parents and guardians, we may collect your name, address, contact details, emergency contact information, Centrelink Customer Reference Number, and payment details.

Why we collect it

We collect this information so we can provide safe, high-quality education and care for your child, communicate with your family, process Child Care Subsidy claims, and meet our legal obligations under the National Regulations.

How we protect your information

  • Hard copies are stored in locked, secure files
  • Digital records are password-protected, with access limited to authorised staff
  • Our systems are backed up regularly and protected with security software
  • Only people directly involved in your child's care can access their file

Who we may share information with

We only disclose personal information:

  • To the extent necessary for your child's education, care, or medical treatment
  • With third-party providers you've given us permission to share with (for example, our Child Care Subsidy software)
  • With regulatory authorities, as required by law
  • With your written consent, which you can withdraw at any time

We never share your information for marketing purposes, and families only ever have access to their own child's records.

Access and correction

You may request access to the personal information we hold about your child at any time by contacting your centre directly. If you believe any of our records are incorrect, please let us know and we will take reasonable steps to correct them so they remain accurate and up to date.

If your family's circumstances change — for example, an update to custody arrangements or contact details — please notify us as soon as possible.

In some circumstances, access to certain information may be limited where required by law, or where providing access could impact the privacy or safety of another individual.

Photos and videos

We only use images or videos of your child with your written permission, given at enrolment. We ask that families don't share photos or videos of other children obtained through our app, Facebook page, or from centre events, on social media or elsewhere.
